A. Rental Period It is the user's responsibility to allow sufficient time to set-up and clean-up the chosen facility. These hours, in addition to the event beginning and ending times must be included in the rental period. All clean up must be completed and the facility vacated by the time indicated on the rental form. B. Holidays Days/Dates recognized as holidays are based on the township's recognized approved holiday schedule, which is available upon request. C. Fees A $25.00/$100.00 Non-refundable deposit is require at completion of of rental agreement. Deposit of $25.00 is due if your total for the rental is under $300.00. A deposit of $100.00 is due if your total rental costs are $300 or over. Rental fees will vary depending on the room requested, your rental category how long the room is used, miscellaneous fees and any applicable damage fees. See the rental price list to determine the fee for the desired room. Fees are based on hourly increments and are subject to change. The minimum rental period is one (1) hour and rates are per hour and will not be prorated for part of an hour. Required Cleaning/Security Deposit
Cleaning/damage deposit is due with all other rental fees. Return of this deposit will be made the following business day after your event. Any cost of extra cleaning of the facilities and furnishings, both inside and outside, or damages to floors, wall, furnishings and landscaping, or overtime charges will result in a deduction or forfeit of your deposit. You will be billed for any damages not covered by your deposit. Restrictions are made and fees applied based upon who is using the facilities, when and for what purpose. Residents, non-residents, public groups, and commercial groups may use the community center.
The following items are due at least 7 days prior to scheduled use:
D. Room Set-up Community Center staff will set up the room(s) according to the completed set-up form that you provided. This form may be obtained at the time of booking. It is the responsibility of the rental applicant to complete the set-up form and submit it to the Community Center at least seven (7) days prior to the event. If we do not receive the set-up form on time then a generic set up will be provided and it will be your responsibility to make the necessary changes. NOTE: When completing your set-up form, tables, chairs, stage, etc. cannot be place in front of exit doors. Additional set up changes that need to be made on the day of the event will be the sole responsibility of the rental applicant. Please be sure to allow enough time to complete your additional room set up and decorating when booking your event. You will be charged for any and all time used for set up if it is outside your allotted time. Please be aware of the hardwood floor when moving equipment. Chair carts are available to assist in moving the stacked chairs. DO NOT DRAG TABLES AND/OR CHAIRS ACROSS THE FLOORS. Damage that occurs to the floor is the responsibility of the rental group and may result in forfeiture of the entire damage deposit. NOTE: Tables and chairs that are provided by the Community Center are not allowed outside the facility. An additional charge is required for staff and the use of certain types of equipment, subject to availability at the facility. Staff costs are additional. E. Responsibilities You are solely responsible and answerable financially for any and all accidents or injuries to persons or property resulting from your use of the Community Center facilities. You shall be responsible for the control and supervision of all people in attendance during your use of the facility and shall take care to see that no damage is done to the facility and that everyone conducts himself/herself in an orderly manner. If damage or behavior of your group warrants it, your function may be stopped in progress and you may be denied further use of the facilities. THE BUILDING MONITOR IS RESPONSIBLE FOR THE FACILITY AND MAY REQUEST POLICE ASSISTANCE AT ANY TIME TO PREVENT ABUSE OF PRIVILEGES AND TO ENFORCE FACILITY RULES AND REGULATIONS. F. Cancellations Refunds and service fees will be handled as follow:
The responsible party listed on the contract must submit all cancellations in writing. Telephone call will not be accepted. Occasionally, it may be necessary to reschedule, relocate or deny a request previously approved. In this event, the case the group or individual will be given as much advance notice as possible with a full refund of all fees. G. Addition Staff Additional staff deemed necessary by the Community Center will be charged to the renter at the current hourly rate of the staff member. H. After Hours Events For those events that will take place or will extend after the normal closing hours of the Center will require:
I. Services Provided Building monitor(s) will be on duty in the Community Center during your entire use of the facility. The monitor will be available to open the facility, answer questions and check periodically with the person in charge of the event. The services of the building monitor are not available for waiting tables, serving, or your portion of the clean up. Tables and chairs are provided. We will set them up and put them away only if you provide the Center, in advance, with a floor plan showing what arrangement you need. Your table and chair set up will begin at your rental start time. The facility will not be open prior to that time for you, your caterers, bands, decorators, etc. The building monitor will check the condition of the facility with the person in charge prior to their departure to determine if any damage or further cleaning is necessary. It is the responsibility of the building monitor to enforce all of the facilities use regulations. If necessary, he/she will clear the facility and end the event if the regulations are not being followed. J. Eligibility Information You DO NOT have to be Palmer Township resident or a Palmer Community Center to participate in programs and activities held at the Community Center. Also, there is no membership in the Community Center except for the fitness center. K. Related Forms
